Frequently Asked Questions on Tracking Volunteer Hours - effective December 10, 2023

​Q: What is my sign-in time at an event?​​
A: Volunteers should write down the exact time that they are formally checked in by the venue at an event. For example, if you arrive at US Bank Stadium security at 11 am but you don't formally check in at the venue's check-in desk until 11:22 am, you should write down 11:22 am as your sign-in time on the stand sheet. Volunteers should report to the stand immediately after checking in with the venue. Please do not make any extra stops along the way.

Q: What is my sign-out time at an event?
A: Volunteers should write down the exact time they have completed their last job or task, assuming they have been approved to leave by the stand or port lead. For example, if you are approved to leave by the stand or port lead AND your last job or task was completed at 5:34 pm, you should write down 5:34 pm on the stand sheet. If you are a stand lead, you should write down the exact time you are leaving after turning in the paperwork to the venue. If you are carpooling, you should still sign out at the exact time you are finished with your specific job or task. This may mean that you have to wait 10 to 20 minutes for the other person or people in your carpool to be done. If you are in a port, you must sign out when the port work is finished even if you are carpooling. Any time spent waiting for other people in your carpool is off the clock. In rare circumstances, the TCFA Coordinator may authorize different sign-in and sign-out times when working a double event in order to properly account for the volunteer working extended hours on behalf of TCFA.

Q: What do breaks look like at an event?
A: Unlike a normal job, there is no requirement for a volunteer to have a break. Breaks must be taken prior to the start of the event after the stand is ready. If there is not time for breaks before the event, the stand lead may designate an alternate time for breaks during the event. If a break is not taken before the event or during the time designated by the stand lead, the volunteer forfeits their break and no other break will be permitted. In addition, there will be no breaks allowed at the end of the event. Everyone must be working on cleaning up, no exceptions.
Volunteer Cancellation Policy - effective September 10, 2023​

Volunteers can cancel without penalty 15 or more days before an event.

Volunteers can cancel 8 to 14 days before an event, but must contact the NPO Coordinator at info@tcfundraisingassociation.org to see if there are any extras. If there are extras, the NPO Coordinator will cancel the volunteer's shift and assign someone from the extras list. If there are no extras, the volunteer requesting to cancel must find a replacement on their own and notify the NPO Coordinator of the replacement no later than 8 days before an event. If a replacement cannot be found, the volunteer looking to cancel will receive a $100 penalty.

Volunteers cannot cancel within 7 days of an event.

Cancellations due to extenuating circumstances will be evaluated by the Board on a case-by-case basis to determine whether the $100 penalty will be assessed.
Stand Assignment Rationale​

Stand assignments are made to balance the following considerations:

Stadium partner preferences for volunteer assignments (who works where)​

Volunteers' skill sets and creating a balanced skill set across all locations in a venue

Personalities of volunteers and minimizing conflict

Volunteers cannot change stand assignments (i.e., location)

Volunteers cannot change assigned job functions within the stand. For example, if you are placed within the kitchen, you must perform those tasks.

If a volunteer has questions about how to perform their assigned job function, they should talk to the stand lead.

Leads are authorized to make changes within the stand to best serve the guests. A volunteer may be asked to change job functions at an event to accomplish this.

If carpooling, there is no guarantee you will be assigned to the same location as others in your carpool, so please plan accordingly. Almost all stands will be done within 15 minutes of each other at an event.
Volunteering With Other NPOs Policy - effective March 1, 2022​

​TCFA strictly prohibits any volunteer from actively volunteering with another NPO at Target Field, all University of Minnesota Gophers venues, and US Bank Stadium. If you volunteer with another NPO at any of these locations, your TCFA membership will be immediately terminated.
